Accounting and Private Equity IT Support in Northern Virginia
Stable systems through tax season, and security controls that hold up to regulators and investors.
We keep accounting and investment firms working through every deadline, with client financial data behind controls you can show a regulator, an auditor or an investor.
It is for CPA and bookkeeping firms, tax preparers, wealth managers, broker-dealers and private equity firms that have no IT department of their own. DistrictConnects runs the IT and security from Herndon, remotely and on-site, with network devices monitored 24/7 and the team working 7 days a week, 7am to 7pm.

What regulators and investors expect from a financial firm’s IT
Accounting and investment firms hold Social Security numbers, bank details and deal documents, and several federal rules spell out how that data must be protected.
- Tax preparers fall under the FTC Safeguards Rule. The FTC Safeguards Rule names tax preparation firms as financial institutions and requires MFA, encryption and a written incident response plan, plus notice to the FTC within 30 days of discovering a breach of 500 or more consumers’ unencrypted data.
- The IRS expects a written plan. IRS Publication 4557 explains how to protect taxpayer data and comply with the Safeguards Rule, and the IRS reminds tax professionals that federal law requires a written information security plan.
- Advisers and broker-dealers face Regulation S-P. The SEC’s amendments to Regulation S-P require an incident response program, customer notice within 30 days, and service providers that report a breach to you within 72 hours. Compliance dates were 3 December 2025 for larger firms and 3 June 2026 for smaller ones.
- FINRA firms need a continuity plan. FINRA Rule 4370 requires a written business continuity plan that covers data backup and recovery and all mission-critical systems, with an annual review.
- Healthcare clients bring HIPAA. An accounting firm with access to a healthcare client’s patient information is a business associate, and HHS has settled a ransomware investigation with a CPA firm in that role.
- Private equity answers to investors. Fund managers registered with the SEC fall under Regulation S-P, and limited partners and acquirers ask detailed security questions during due diligence, about the firm and its portfolio companies.
The rules overlap heavily: MFA, encryption, monitoring, tested backups, vendor oversight and a written plan satisfy most of them at once.
Risks we see in this industry
Account takeover and fake wire requests
A stolen password without MFA lets an attacker read a partner's mailbox, add a hidden forwarding rule and send a client or the controller new payment instructions that look completely routine.
Ransomware across shared drives
One infected workstation encrypts the client folders, the tax software data and the mapped drives every staff member uses, in the middle of filing season.
Downtime at the deadline
Wi-Fi drops, a failed internet line or a dead server in the week of April 15 or a fund close costs billable hours that cannot be made up, and deadlines do not move.
Accounting software lag and file disconnects
Slow file opens, multi-user mode errors and random disconnects are usually workstation health, the network or the file server, not the accounting software itself.
Tax season remote access
More staff working from home, more file transfers and seasonal hires all arrive at once. Remote access protected by nothing but a password gives anyone with a stolen credential the same way in.
Client documents sent by plain email
Returns, statements and K-1s attached to ordinary email, or uploaded to personal cloud accounts, leave copies of Social Security and bank numbers in places the firm does not control.
Compliance and insurance requirements
- FTC Safeguards Rule (GLBA) Tax preparation firms, and other financial firms no other regulator oversees, are financial institutions under the rule. It requires a qualified individual, a written risk assessment, MFA, encryption, vendor oversight, staff training, a written incident response plan and FTC notice of larger breaches.
- IRS Publication 4557 The IRS guide to safeguarding taxpayer data, with a checklist for the written information security plan federal law requires of tax and accounting professionals. We build the technical controls the plan describes and keep the evidence.
- SEC Regulation S-P Broker-dealers, registered investment advisers, investment companies and transfer agents need an incident response program, customer notice within 30 days of a breach, and written oversight of service providers.
- FINRA Rule 4370 Member firms keep a written business continuity plan covering data backup and recovery and all mission-critical systems, reviewed every year. We supply the IT side: backups, recovery order, alternate access and test records.
- Investor and buyer due diligence Limited partners, lenders and acquirers send security questionnaires about MFA, EDR, backups, vendor management and incident response. We keep the policies and control evidence ready, at the firm and at portfolio companies.
- HIPAA for healthcare clients A firm whose accounting work for a healthcare client involves patient information is a business associate. That brings a BAA, access controls, audit logging and encrypted storage for those client files.

How we start
Scoping call
We learn who you serve and which rules apply (tax clients, advisory accounts, a broker-dealer, funds and portfolio companies), the software you run and any deadline such as tax season, an exam or an investor questionnaire.
Assess
An engineer reviews workstations, file servers, the network, Microsoft 365 security, remote access, backups and how client documents move in and out of the firm.
Findings and itemized quote
You get a plain-English list of gaps ranked by risk and mapped to the Safeguards Rule, Regulation S-P or your other obligations, with an itemized quote, month to month.
Stabilize
Fix what slows work first: failing drives, weak Wi-Fi, flaky switches and file server problems behind accounting and tax software errors, ideally well before the filing season peak.
Secure
MFA and Conditional Access, EDR on every computer, mailbox rule reviews, DNS and web filtering, encrypted client file sharing, virtual desktops so remote and seasonal staff work without client files leaving the firm, segmented networks and backups kept out of ransomware's reach.
Maintain and document
Monitoring, patching and help desk every week, restore tests, a quarterly business review and the records your written security plan, an examiner or an investor will ask to see.

Common questions
How do you handle tax season?
We plan for it before January: hardware and Wi-Fi checked, tax software updated, remote access and seasonal accounts ready, backups restore-tested and a second internet line with automatic failover where the office needs one. During the season our team works 7 days a week, 7am to 7pm. Existing clients are covered by their SLA, from a 1-hour response to next day depending on the plan.
Can you help us pass a security review or due diligence?
Yes. We put the missing controls in place, then assemble the documentation reviewers ask for: policies, the written information security plan, MFA and EDR coverage, backup restore tests, vendor records and an incident response plan. This is readiness work, not a formal audit, and it means every answer you give a reviewer is backed by a record.
How do our staff work remotely and securely?
Each person signs in with MFA and works either on a virtual desktop that runs inside the firm's environment, so client files never land on a home computer, or on a managed, encrypted laptop that reaches the files through Zero Trust access or an encrypted VPN. Nobody uses an open remote desktop port. Conditional Access blocks sign-ins from unmanaged devices or unusual locations, and every session is logged. Seasonal staff get the same setup, and their access ends on their last day.
Do you support small CPA and bookkeeping firms?
Yes. A firm with a handful of staff and no IT person is still covered by the Safeguards Rule and the IRS written plan requirement, though firms holding data on fewer than 5,000 consumers are exempt from a few provisions. It needs the same basics, MFA, encrypted devices, EDR, tested backups and a written plan, sized to the number of people and clients. Managed IT gives a small office that coverage without adding a salary.
Which accounting and financial software do you support?
Desktop and cloud accounting software, tax and accounting software for preparers and CPA firms, financial planning and CRM tools for advisers, and the client portals you use to exchange documents securely. We handle the workstations, servers, network, accounts and backups around them, and work with each vendor's support team on application problems.
How do you reduce phishing and email compromise?
MFA on every mailbox, Conditional Access, filtering for phishing and lookalike domains, SPF, DKIM and DMARC on your domain, and regular checks for hidden forwarding rules and suspicious sign-ins. Add a firm rule that any new payment or wiring instruction is confirmed by phone, using a number already on file, before money moves.
How much does IT support for an accounting firm cost?
It depends on the number of staff and devices, offices, the software you run, which regulations apply and how much documentation already exists. We do not publish prices. The first assessment is free, then you get an itemized quote for the monthly service and any one-time fixes. Plans are month to month, with no long-term contract.
