Business Email Security and Phishing Protection in Northern Virginia

Phishing, invoice fraud and domain spoofing stopped before they reach the person who pays the bills.

Updated

Email security protects Northern Virginia businesses from phishing, invoice fraud and spoofing of their domain, the attacks most likely to cost an office money this year.

Offices that move payments, client files or patient records through Microsoft 365 or Google Workspace need protection against impersonation and fraud, not only spam, and on most tenants those protections are licensed but never configured. DistrictConnects sets up and manages the filtering in your mailboxes and the authentication on your domain, then investigates and contains it when a phishing email gets through.

Why spam filters miss the emails that cost money

Spam filters were built for bulk junk. The attacks that cost small businesses money are quiet, targeted and often contain nothing a filter can scan.

  • No malware to find. Invoice fraud is often a short message asking accounting to update a vendor’s bank details, with no link or attachment at all.
  • Lookalike senders. Fresh domains one letter off from your vendor, or a display name that matches your owner, pass reputation checks.
  • Links that turn bad later. A link that was clean at delivery can point to a fake Microsoft 365 sign-in page an hour later.
  • Your own domain is spoofed. SPF is outdated, DKIM was never enabled for every sender, and DMARC is missing or stuck in monitor-only mode.
  • Protection paid for but switched off. Defender for Office 365 Plan 1 comes with Business Premium, yet Safe Links, Safe Attachments and impersonation rules often sit unconfigured.
  • A taken-over mailbox nobody notices. Attackers add hidden forwarding rules, read threads for weeks and reply inside real conversations.

Business email compromise accounted for 2.77 billion dollars in losses reported to the FBI in 2024 (IC3 2024 report).

Protecting your domain with SPF, DKIM and DMARC

Without these records, anyone can send email that appears to come from your company to your clients and vendors. We roll them out without interrupting your real mail.

  • SPF. Lists every server and service allowed to send as your domain: Microsoft 365, your CRM, your marketing tool.
  • DKIM. Adds a cryptographic signature to each message so receivers can tell it was not altered or forged.
  • DMARC. Tells receivers what to do with mail that fails: nothing, quarantine or reject.
  • Staged rollout. Microsoft recommends starting at p=none, then quarantine, then p=reject, watching reports at each step.

Email security works best with managed Microsoft 365 identity controls and endpoint protection on every device behind the inbox.

What is included

  • Phishing and impersonation protection

Anti-phishing policies that check sender behavior, content and domain reputation, plus impersonation protection for your owners, finance staff and most-invoiced vendors, so a lookalike domain or a display-name trick gets caught.

  • Attachment sandboxing

Safe Attachments opens attachments in an isolated environment before delivery, catching malware hidden in invoices, resumes and shipping documents that a signature scan would pass.

  • Link checking at the moment of click

Safe Links rewrites links and checks the destination when someone clicks, not just when the message arrives, so a link that turns malicious hours later is still blocked in email, Office apps and Teams.

  • Removal after delivery

Zero-hour auto purge pulls messages out of mailboxes when they are identified as malicious after delivery, even if nobody has opened them yet, and we search and purge the rest of a campaign across every inbox.

  • Spam and quarantine tuning

Thresholds, quarantine policies and user notifications set for your business, so real client mail stops landing in quarantine without weakening protection. External sender warnings flag mail from outside your company.

  • SPF, DKIM and DMARC on your domain

Every service that sends as you, from Microsoft 365 to your CRM, forms and scanners, authorized in SPF and signed with DKIM, then DMARC moved step by step to reject, with the reports monitored.

  • Phishing simulations and training

Simulated phishing campaigns and short awareness training for staff, plus a simple rule for finance: any change to banking details or an unusual payment request is confirmed by phone at a number already on file.

  • Investigation and response

When someone clicks, we analyze headers, contain the compromised account, reset access, remove malicious forwarding rules and check what was exposed. You also get a monthly summary of blocked threats and trends.

How the work runs

  1. Free email security assessment

We review your filtering policies, SPF, DKIM and DMARC, impersonation protection, MFA coverage, external forwarding, legacy sign-in, admin privileges and mail flow, then explain the gaps in plain English with an itemized quote.

  2. Close the identity gaps

MFA on every mailbox including shared and service accounts, legacy sign-in blocked and automatic forwarding to outside addresses restricted, because a stolen password is how most mailbox takeovers start.

  3. Tune the filters

Anti-phishing, Safe Attachments, Safe Links and spam policies configured for your business, with impersonation protection on the people and vendors attackers are most likely to fake.

  4. Lock down your domain

SPF corrected, DKIM enabled for every sender, and DMARC started in monitoring mode to find hidden senders before it moves to quarantine and then reject.

  5. Train your team

Phishing simulations, short training and a written verification rule for payments, so the people who handle money know what a fraud attempt looks like.

  6. Monitor and respond

We review alerts and quarantine on a schedule, investigate reported messages, act on compromised accounts and send you a monthly report. Plans are month to month.

Common questions

What is the difference between a spam filter and advanced email security?

A spam filter blocks bulk junk mail based on known patterns and sender reputation. Advanced email security looks at the content and behavior of each message: it opens attachments in a sandbox before delivery, checks links at the moment of click, spots impersonation of executives and vendors, and removes messages from mailboxes when a threat is found after delivery. Modern phishing and invoice fraud are built to pass basic spam filtering.

Does Microsoft 365 include email security?

Every Microsoft 365 mailbox includes baseline spam, malware and spoofing protection. Safe Attachments, Safe Links and impersonation protection come with Microsoft Defender for Office 365 Plan 1, which is included in Business Premium or available as an add-on. Either way, the protections have to be configured for your business. On most tenants we review, the defaults have never been touched and the paid features are not switched on.

What is business email compromise?

It is a targeted scam where a criminal impersonates an owner, employee or trusted vendor to get someone to send money or sensitive data. Common forms are fake wire requests, changed bank details on a real invoice, gift card requests from the boss and payroll redirection. There is often no link or attachment to catch, so the best defense combines impersonation protection with a rule that payment changes are confirmed by phone.

What are SPF, DKIM and DMARC?

They are DNS records that prove email claiming to come from your domain really did. SPF lists the servers allowed to send for you, DKIM adds a cryptographic signature to each message, and DMARC tells receiving servers what to do when a message fails: nothing, quarantine or reject. Set up properly, they make spoofing your domain much harder and help your real mail reach inboxes.

Will turning on DMARC break our email?

Not when it is rolled out in stages. DMARC starts in monitoring mode, which changes nothing about delivery and shows every service sending as your domain, including forgotten ones such as website forms, CRMs and scanners. We fix SPF and DKIM for each of them, then move to quarantine and finally reject, checking the reports at each step. Domains you own but never send from get a reject record straight away.

Why are we still seeing phishing emails in our inboxes?

Usually because the filtering is still on default settings, the paid protections are not switched on, or impersonation protection does not know who your executives and key vendors are. Tuning those policies, adding domain authentication and reviewing what gets through cuts the volume considerably. No filter catches everything, which is why we also train staff and set up a quick way to report suspicious mail.

Can email security stop ransomware?

No single control guarantees that, but email is one of the main ways ransomware arrives. Blocking malicious attachments and links before they reach users removes a large share of the risk. Combined with endpoint detection and response on every device, MFA and backups that ransomware cannot reach, it is a core part of ransomware defense rather than a complete answer.

How much does managed email security cost?

It depends on the number of mailboxes, whether you already have Business Premium or need an add-on, how many domains and sending services need authentication, and whether you want phishing simulations and ongoing monitoring. We do not publish prices. After a free email security assessment you get an itemized quote that separates licensing from our work. Plans are month to month, with no long-term contract.
